Key things to consider when moving to Beyond

Transitioning to a new payroll and tax filing provider can feel overwhelming, especially when accuracy and compliance are on the line. That’s why Beyond simplifies the entire process by entering your employee details and historical payroll data for you. This ensures all deductions and tax filings remain accurate from day one.

Letting Your Current Payroll Provider Know

If you’re not switching providers at the start of a new quarter, it’s important to notify your current payroll company about the change. Ask them not to file your current quarter’s unemployment tax reports, Beyond will take care of those filings on your behalf.

State Registration Information

During your onboarding with Beyond, you’ll be asked for your:

- State Withholding Tax ID
- State Unemployment Insurance (SUI) Account Number
- Current SUI Rate

These details allow Beyond to accurately calculate and file your state taxes. Make sure this information is up to date before you begin.

Tax Filing Access

In certain states, Beyond may need additional authorization to file on your behalf. These state-specific permissions help prevent penalties or interest fees caused by filing delays. Make sure you grant access where needed to keep things running smoothly.

Employee Tax Elections

By default, and in accordance with IRS rules, Beyond assigns W-2 employees a tax withholding status of Single with zero allowances, unless the employee specifies otherwise during onboarding.

If employees are invited to complete their own profiles during self-enrollment, they’ll have the chance to update this election. Alternatively, an admin at your company can input this information when setting up employee records.

Payroll Runs and Error Prevention

Beyond’s built-in notifications help you avoid mistakes by flagging missing information or form discrepancies before a pay run is submitted. But even if you catch an error after running payroll, there’s no need to panic. As long as payroll taxes haven’t been withdrawn from your business account yet, you can cancel the pay run and make any necessary corrections.

Setting Up Direct Deposit

With Beyond, you can choose to offer direct deposit to some or all of your employees. Direct deposits will appear in employees’ accounts under your business name, not Beyond’s, which helps avoid confusion during the provider transition.

Beyond’s platform lets you upload and store key documents directly within employee or contractor profiles. While this isn’t a replacement for formal document retention obligations, it’s a helpful way to keep your records centralized and organized.

Workers’ Compensation Coverage

Most states mandate workers’ compensation coverage, and even where it’s optional, many employers choose to provide it.
