
How to Assign Time Off Accrual Policies to Employees

Once you’ve set up your time-off accrual policies in Beyond, you can easily assign them to employees through their individual profiles. Here’s how:
Getting Started
You can open an employee profile in two ways:
- From your dashboard, just click on the employee’s picture (or their initials).
- Or, go to the Workers menu, which shows a list of all employees. From there, click on an employee’s name to open their profile.
Assigning the Accrual
- Inside the employee profile, click on HR to view Time Off*.
- Don’t see HR? Click Job ↓ instead.
- You’ll see options for Vacation, Sick, and PTO. Choose the type of policy you want to assign.
- Select the policy, then fill in:
- Anniversary date
- Last accrual date (the last date they accrued leave, if applicable)
- Current balance (any leave they already have available)
All changes are saved automatically.
Tip: If you don’t see the policy you need, you can always create a new accrual policy.
Anniversary Date vs. Last Accrual Date
- Anniversary date
This is often the employee’s hire date, but it doesn’t have to be. While most accruals are tenure-based, Beyond calculates accruals from whatever date you enter. If accruals are given by calendar year, you may prefer to use Jan 1 or another date tied to your company’s fiscal year. - Accrual date
This should be the last day of the previous pay period. For example, if the current pay period started on the 28th, you would enter the 27th. This marks the start of the employee’s ongoing accrual.
When to Enter an “Amount Available”
If an employee already has an accrued balance with your company, enter that balance as of the accrual date you specified.
Limiting Rollover
By default, unused accrual balances roll over into the next year. If your company has a “use-it-or-lose-it” policy (where unused time off expires at year-end), you can reset an employee’s Amount Available directly in their profile.
To do this:
- Click HR (or Job ↓ if HR isn’t visible).
- Open the employee’s assigned time-off policy.
- Update their available balance as needed.
With this setup, Beyond makes it simple to manage and customize PTO policies for each employee.
