
Inviting Existing Employees and Contractors to Access Beyond

Beyond makes hiring and onboarding new employees straightforward, but what about the workers you already had before you started using the platform? You can invite both employees and contractors to create their Beyond account, giving them direct access to pay stubs, year-end forms, and other features. They’ll also be able to request time off, upload documents, and complete assigned tasks.
Step 1: Create the Employee Profile
If an employee does not yet have a profile in Beyond, you’ll need to set one up with their basic information, including their personal email address.
Important: Always use the employee’s personal email address, even if your company provides a work email. This ensures they will continue to have lifetime access to their pay and tax documents, even if they lose access to their company email.
To add an employee in Beyond:
- Go to the Workers menu.
- Click Hire Worker (you can use this option even for employees already working for you).
- Select Add an employee.
- Enter their basic details, including their personal email address.
- Check the box for Invite Employee.
Employees added manually won’t be able to log in unless they receive an invitation.
Step 2: Verify Employee Access
- Open the employee’s profile through Workers or the My Team tile in your Dashboard.
- Under their Personal/Basic Information, check for the Invite Employee option.
- If it appears, the employee has not yet been invited. Confirm the email address and click Invite Employee.
- If you see Revoke Invitation, that means the invitation has already been sent.
Step 3: Troubleshooting Lost Invitations
If an employee can’t find their invitation email:
- First, confirm the email address is correct.
- Ask them to check their inbox, junk, and spam folders for messages from Beyond.
- If they’ve forgotten their password or never set up their account, they can always use the Reset Password option to regain access.
Once invited, employees and contractors will have everything they need to manage their information directly in Beyond.
